2.2. From in-person attendees:

• Ticket QR code data (used solely for verifying entry to the Venue)

• Photographs and video recordings captured during the event, in which you may appear

2.3. From online attendees:

• Registration details on the Swapcard platform (name, email, company, job title)

• Activity data, including sessions joined, messages sent, and interactions with sponsors’ virtual booths

• Technical data collected automatically by Swapcard (e.g., IP address, browser type, device information, login times)
   

2.4. From website visitors:

• Information submitted via our contact forms or newsletter subscription forms

• Website analytics data (cookies, page interactions, duration of visits)
   

We do not collect or process sensitive personal data such as health information, ethnicity, or political beliefs.

• To manage ticket purchases and registration for the Conference

• Swapcard – event management and online participation platform

• MailerLite – newsletter and marketing email platform

• Office 365 / Microsoft – business communications and file storage

• Stripe / PayPal – payment processing

• Website hosting and analytics providers (Google Analytics, Facebook Pixel)
   

These providers may store data in the EEA or outside the EEA. Where data is transferred outside the EEA, we rely on Standard Contractual Clauses (SCCs) and other GDPR-approved safeguards to ensure adequate protection.

5.2. Sponsors:

Your personal data (name and email) will only be shared with sponsors if:

• You voluntarily interact with a sponsor (e.g., visit their booth in Swapcard, attend their session, or engage in an activation at the physical venue).

• You explicitly provide your details to them.
   

No attendee data is shared automatically with sponsors without your voluntary interaction.

6. Photography and Recordings

By attending the Conference (in-person or online), you acknowledge that we will record and photograph event sessions and activities for promotional, educational, and archival purposes.

Your image or likeness may appear in these materials.

Due to the nature of the event, opting out of being recorded or photographed is not possible. If you do not wish to appear, you may choose not to attend the event.

7. Cookies

Our website uses cookies to improve functionality and understand visitor behavior.

7.1. Types of cookies:

• Necessary cookies – essential for basic website operation.
